## Overview

Softr is a no-code and AI app builder. It isn't a client portal out of the box. You use it to build your own portal on top of data you already have, in Airtable, Google Sheets, HubSpot, Notion, Salesforce, PostgreSQL, Supabase or another of the 17-plus data sources it cites.

It was founded in 2020 and works remote-first, according to its site. Softr offers a Client Portal template as a starting point, and its AI Co-Builder can generate an app and database from a text description, so you don't start from a blank page.

Softr suits teams that want a portal shaped exactly to their process and have someone willing to build and maintain it. In return for that work, you get the most flexibility on this list: your own layout, your own data model and your own rules for who sees what.

## Key features

### Build on your own data

Softr connects to Airtable, Google Sheets, HubSpot, Notion, Salesforce, SQL databases and a REST API connector, so the portal shows clients live data from where it already lives. There's no import step and no second copy of your client records.

### AI Co-Builder and templates

The AI Co-Builder generates apps and databases from a prompt, and a Vibe Coding block adds custom pieces. The Client Portal template gives you a working start. Monthly AI credits run from 5 on Free to 100 on Business.

### Forms, files and e-signatures

Softr Forms collect briefs, feedback and approvals and can trigger workflows, with conditional logic. Clients can upload, access and share documents, and e-signature requests for contracts are supported.

### Ask AI for portal users

Ask AI lets clients query live data in the portal in plain language, limited to data each user can access. Database AI agents can also work on your data.

### Permissions and sign-in

Role-based permissions give each client a personal view, down to granular levels. OTP and Google sign-in for app users start on Pro, and domain-restricted signup on Business.

### Workflows and integrations

Softr Workflows automate processes like project update notifications and invoice reminders, and Make, Zapier and n8n are supported. In-portal live chat runs through Intercom or Drift, and invoicing works with Stripe and PayPal.

### Enterprise controls

Enterprise, priced through sales, adds SSO, SCIM and audit logs for larger organizations. Lower plans rely on Softr's own sign-in options.

### Mobile app and compliance

The Business plan adds a PWA, which turns the portal into an installable mobile app, along with two-factor authentication. Softr states SOC 2 and GDPR compliance and handles hosting.

## What it's like for your clients

The client experience is whatever you build. Done well, a Softr portal can show each client exactly their projects, timelines, invoices, reports and documents, pulled live from your systems, with an AI assistant that answers questions about that data. Because the data is live, a client checking a project status sees what your team sees, without anyone writing an update. Clients can submit briefs and approvals through forms, upload files and sign contracts.

Sign-in depends on plan: OTP and Google sign-in arrive on Pro, and an installable PWA on Business. On lower plans, clients use the portal in a mobile browser. Email notifications aren't built in as a fixed feature; you set them up as workflows, such as a project update or an invoice reminder.

There's no ready-made request workflow, approval flow or follow-up. If you want clients to submit requests, approve work and get reminded, you design those forms, workflows and permissions yourself, and keep them working as your data changes. That's fine if you have a builder on the team, and a real cost if you don't.

## Strengths
- Fully customizable layout
- Works on Airtable, Sheets, HubSpot, Notion and SQL
- Free plan

## Limitations
- You build and maintain the portal yourself
- No built-in request workflow
- Low client user limits per plan

## Pricing
Softr prices by builders and app users. Free has up to 3 builders, 5 app users and 5K records. Basic is $25 a month with 1 builder, 5 team and 5 client app users, and a custom domain. Pro is $119 with 2 builders, 10 team and 50 client app users, and no Softr branding. Business is $395 with 3 builders, 30 team and 100 client app users. Extra builders cost $5, $10 or $20 a month depending on plan, extra app users start at $1 a month on Pro, and extra custom domains are $15. Yearly billing takes off about two months.

A 5-person team with 10 clients needs Pro at $119 a month. Basic has enough team users but only 5 client users, so 10 clients with one login each won't fit. Pro covers 10 team and 50 client users, with 2 builders included. If more than two people build, add $10 a month for each. Your data source, such as Airtable, may have its own cost on top. On yearly billing, Pro is $99 a month.

A 3-person team with 10 clients still needs Pro at $119, because the limit that bites is client users, not team size. A 15-person team is past Pro's 10 team users, so it's Pro plus extra app users, which start at $1 a month each on Pro, or Business at $395 with 30 team users and the PWA. Softr offers 50% off for non-profits and education.

- Free: $0/mo (5 app users)
- Basic: $25/mo (5 client users, custom domain)
- Pro: $119/mo (50 client users, no Softr branding)
- Business: $395/mo (100 client users)

## Who it's for

A good fit if:
- Teams with client data already in Airtable, Sheets, HubSpot, Notion or a database
- Processes that don't fit any ready-made portal
- Teams with someone who likes building and maintaining tools
- Portals where clients mostly need to see their own live data
- Non-profits and education teams eligible for Softr's discount

Look elsewhere if:
- Teams that want a ready-made portal live today
- Request and approval workflows without building them
- Firms with many client logins on a small budget
- Teams without anyone to maintain the portal as data changes
- Firms that need SSO for client sign-in without moving to Enterprise

## Alternatives

- **Assembly**: Assembly is a ready-made portal with billing, contracts and forms, plus an AI app builder for custom pieces. Pick it if you want flexibility without building the whole portal.
- **FuseBase**: FuseBase gives you portal templates, intake forms, sign-off requests and AI agents with less building. Pick it if you want a workspace-style portal faster.
- **Dora**: Dora is a finished portal where requests are briefed and clients followed up from the first day. Pick it if you'd rather not build or maintain the workflow yourself.

## The verdict

Softr is the most flexible option here, because you build the portal yourself on your own data, with real AI help from the Co-Builder and Ask AI. Forms, file sharing, e-signatures, workflows and granular permissions give you the parts to build almost any portal. That flexibility is also the cost: you build it, maintain it and design every workflow, and client user limits push a 10-client team to $119 a month. Pick it if your process is unusual and you have both the data and the builder. If you just want clients to send requests and approve work, a ready-made portal will get you there faster.
