How we rank client portal software
Updated
We rank client portals on what decides whether clients stay: how easy the portal is for clients, how much follow-up it takes off your team, how quickly you can set it up, and how the price behaves as you grow. Feature checklists count, but last. Every price and feature is checked on the vendor's own site.
Most client portal comparisons count features. That rewards the tools with the longest menus, not the ones clients actually use. A portal that clients avoid, or that still leaves your team chasing every reply, fails at its one job however many boxes it ticks.
So we start from the client's side and the account manager's week, and work back to features.
What we weigh
| Criterion | Weight | What we look at |
|---|---|---|
| Client experience and retention | 35% | How easily clients ask, find and approve, including by email, and how much the portal keeps work moving without chasing. |
| Ease of setup | 20% | Time from signup to a real client using it, and how much configuration it needs. |
| Team experience | 15% | How clear requests are when they reach the team, and how much admin the portal removes. |
| Pricing as you grow | 15% | What a 5-person team with 10 clients pays, and whether the bill grows with seats, clients or contacts. |
| Features | 15% | White label, approvals, file handling, integrations, billing and AI. |
How we test
- Read each portal's pricing page, help center and product walkthroughs.
- Map the path of a typical client request: how it arrives, how it's briefed, who follows up, and how it gets approved.
- Note what setup involves, the steps a client needs to take, and what the team still has to do by hand.
- Price each tool for a 5-person team with 10 clients from its public pricing page.
- Score each tool against the weights above, then pick the best fit per audience and use case.
Where the facts come from
Pricing, plans and feature claims come from each vendor's own website and help center, and the date we last checked is shown on every review. Where a vendor doesn't publish a price, we say so instead of guessing.
We don't accept payment for placement.
Keeping it current
We recheck prices and features regularly and refresh every guide at least once a quarter. Rankings and prices on this site reflect 2026.
