Overview

FuseBase is a client portal and knowledge workspace with built-in AI agents and automation. You build portals that keep files, results and next steps together, with intake forms, review and sign-off requests, status widgets from your project tools and embedded apps.

It was founded in 2014 and is based in Cleveland, Ohio, according to its site. It offers ten example portal templates across agencies, consulting, finance and legal, and training and hiring, each in light, dark and futuristic themes.

FuseBase's distinguishing feature is AI agents that work inside client portals, within the permissions you set, along with meeting transcription and a browser assistant. It suits consultants and teams whose deliverables are documents, knowledge bases and dashboards more than a stream of creative requests.

Key features

Portals with intake and sign-off

Portals keep files, results and next steps together. Intake forms collect requests and feedback, and portals show review and sign-off requests to clients, so approvals have a home.

Status from your project tools

Portal widgets show milestones and status from connected project tools, so clients see progress without your team rewriting updates by hand.

AI agents in portals

AI agents can work inside client portals with permission limits, and an agent builder lets you create your own, such as intake or client success roles. FuseBase names Claude and ChatGPT as models and says your people stay in charge. Paid plans include an AI request quota, from 1,000 a month on Solo to 50,000 on Advanced.

Transcription and browser assistant

Meeting transcription is included on paid plans, 5 hours on Solo and 100 hours on Essentials, and 300 hours on Advanced, with extra hours sold in blocks of 20. A browser AI assistant extension is available for Chrome.

Templates and branding

Ten example portals cover agencies, consulting, finance and legal, and training and hiring, each in three themes. Per-portal branding is available, with full white label, a custom domain and a custom email sender domain on Advanced.

Automation and integrations

AI can run inside workflow automation, and hosted n8n is available. FuseBase connects to Slack, Microsoft Teams, a CRM and email, and cites more than 3,000 embeddable apps. Extra automation runs cost $10 a month per 1,000.

Team workspace

Knowledge bases and internal Kanban boards with filtering, sorting and grouping sit alongside the portals, so your team can work and publish to clients in one tool. FuseBase also lists client-facing app development.

Security

FuseBase lists two-factor authentication, encryption, access tracking and granular permission management, and its trust center covers SOC 2 and HIPAA. The pricing page lists granular permissions and groups on Advanced and Unlimited.

What it's like for your clients

Clients get a portal that works like a shared workspace: their files, results and next steps in one place, with progress pulled from your project tools. They can submit requests and feedback through intake forms and respond to review and sign-off requests. If you've set up an AI agent, it can help them within the content and permissions you've given it.

Clients get in through magic links, one link with no password, and FuseBase says the portal is meant for clients who aren't technical. Inside, they can manage files, track progress, fill in data requests, give approvals, join group chats and read knowledge bases. FuseBase's pages don't say what email notifications clients receive or whether there's a mobile app; the browser extensions it lists are for your team. Check sign-in and notifications during the 14-day trial; without a card, the account drops to the free plan afterward.

It's more workspace than request flow, and designing portals well takes time, though the templates help. White label needs the $399 Advanced plan, so on lower plans clients see FuseBase branding. For consulting work where the deliverable is information, those trade-offs are often worth it.

Strengths and limitations

Strengths

  • Strong for documents and knowledge bases
  • AI agents inside client portals
  • Free plan

Limitations

  • White label only on Advanced ($399/mo)
  • More workspace than request flow
  • Extra portals cost $20/mo each

Pricing

FuseBase prices by members, portals and clients. Free gives you 1 portal, 1 workspace, 20 AI prompts and 20 automation runs. Solo is $39 a month for 1 member, 1 portal and 1 client. Essentials is $99 for 5 members, 10 portals and 100 clients. Advanced is $399 for 50 members, 100 portals, 1,000 clients and white label. Extra portals are $20 a month each, and a FuseBase AI add-on is listed at $10 per user a month. Annual billing saves about 30%. The trial is 14 days. Storage is 10GB on Solo, 100GB on Essentials and 500GB on Advanced, and pages, blocks and attachment size are unlimited on every plan. Automation runs scale from 1,000 to 50,000 a month, and OCR from 1,000 to 100,000 pages.

A 5-person team with 10 clients fits Essentials exactly at $99 a month: 5 members, and 10 portals if each client gets their own. An 11th client portal adds $20 a month. If you need white label or a custom domain, the next step is Advanced at $399. On yearly billing, Essentials is $82 a month and Advanced $266.

A 3-person team with 10 clients also lands on Essentials at $99, since Solo includes only 1 member and 1 client. A 15-person team is past Essentials' 5 members, and FuseBase doesn't list a price for extra members, so the next listed option is Advanced at $399, which covers up to 50 members. FuseBase says extra members on Essentials and Advanced are available by contacting sales, so ask for a quote if you're just over five.

PlanMonthlyWhat you get
FreeFree1 portal
Solo$391 member, 1 client
Essentials$995 members, 100 clients
Advanced$39950 members, white label

Integrations: Slack, Microsoft Teams, n8n, Embeds.

Who it's for

A good fit if

  • Consultants who deliver documents, knowledge bases and dashboards
  • Teams that want AI agents inside client portals
  • Teams that record and transcribe client calls
  • Firms that need SOC 2 and HIPAA in their vendor review
  • Teams that want to start from a portal template for agencies, consulting, finance or legal

Look elsewhere if

  • Teams that need white label without paying $399 a month
  • Request-driven agencies with frequent creative approvals
  • Anyone who wants a portal ready with little design work
  • Teams of six to fifteen people who don't want to jump to $399
  • Teams whose clients expect a mobile app, which FuseBase doesn't list

FuseBase alternatives

The verdict

FuseBase is a capable workspace for document- and knowledge-heavy client work, with AI agents in portals, intake forms and sign-off requests, transcription, solid security credentials and a free plan. Essentials fits a team of up to five at $99. White label only on the $399 plan is the main drawback, larger teams jump straight to that plan, and it isn't built around a stream of requests. Pick it if what you deliver is information. If clients mainly send you requests, a request-based portal will fit better.
